UQ has an appointed panel of video suppliers. In any video where people will be easily identifiable, regardless of whether they are on- or off-campus, you must ensure they complete and sign a consent form

2. Secure quotes

  • Access the Supplier Panel (requires login) and select a video supplier to suit your production’s needs – it is fine to contact more than one supplier to request quotes.
  • Contact your chosen supplier(s) and provide them with a quick brief of what your project will involve. This should include, at a minimum:
    • Purpose of video
      • Main audience: who do you want to watch the video?
      • Key message: what do you want them to know at the end of the video?
    • Video distribution
      • Hosting: where will your audience see the video?
      • Advertising: how will your audience know where to find the video?
    • Video production and output
      • Post-production treatment: top and tail edit only, hype reel, full edit, indicative lengths, number of videos (if required), etc.
      • Any special format requirements
      • Intended length
      • Narration style: sub-titles, voice over, host or interviews
      • Visual style: provide a description of what the audience will be seeing
      • Music style: will there be music in the production, if so what style?
    • Budget and timeline
      • What is the budget for this project and when do you need it finished by?
  • Additionally, for events:
    • Provide a description of what is required during the video of the event, i.e.:
      • Videographer will video the activities, speakers, guests etc with no live feed or output onsite.
      • Videographer will video the activities, speakers, guests etc with no live feed.
      • Videographer will video the activities, speakers, guests etc with a Live Feed required during the event (for this, you will need to ensure the venue has appropriate equipment).
    • Provide a description of the aim/expectations of the video:
      • What will the video be used for?
      • Who will see the video?
      • What will be videoed:
    • Provide a list/description of specific activities to be videoed: (such as: speakers (include their names), speeches, award presentations, music performances and so on)
    • General videography requirements (such as: event areas showing set up, without guests/with guests engaged; registration process, lanyards, tags, gift bags, signage, staff; hosts helping guests with directions; event signage, company branding and Event branding; guests mingling and networking; guests laughing/smiling; guests moving from room to room; all the speakers presenting; audience having a great time/happy/laughing audience members; images of above from a height, where possible)
    • What to exclude from videography (such as: guests eating)
    • Run sheet, detailing time, activity, responsibility, room, as relevant to the event.
    • Map/venue plan.
  • You may need to have a bit of back and forth with suppliers to finalise details and receive your finalised quote.
  • Once you’ve selected a supplier to work with, continue to the next step to book it in.
