Protocol protects and enhances the reputation of the University by providing support and advice for University staff and the Vice-Chancellor on planning and managing University events.

Protocol is guided by the Ministerial and Dignitary Protocol Guidelines, which apply to all UQ staff and students who want to engage with dignitaries or invite dignitaries to a UQ event.

The guidelines ensure that all invitations sent to dignitaries are strategic and monitored in order to protect the University’s relationship with these key external stakeholders.

5. Final Documents

Protocol needs to send the following final documents to a dignitary and the Office of the Vice-Chancellor and President two days prior to an event:

Order of proceedings with the final details of the event. Event organisers should aim to have the order of proceedings drafted and approved early in the event planning process. Protocol will assist with getting approval from the dignitary and Officer of the Vice-Chancellor and President.

Acceptance list containing everyone who is expected to attend your event, including their titles, positions and organisations.

Acknowledgements listing people and organisations, in order of seniority, who should be acknowledged by the first speaker and dignitary/Vice-Chancellor. All acknowledgements and events should begin with an acknowledgement of country. Please feel free to contact Protocol for guidance on acknowledgements.
